Information For Applicants

Before submitting an application

Before contacting PHS eDRIS, go to the NHS HSC-PBPP How to Apply page which has useful information that must be understood and considered to discuss a potential application with PHS eDRIS.

Feedback from applicants include :-

•”Read all of the available information on the website – it is worth taking the time to do this”.

•”Take your time with the form and you will navigate the process quicker”.

•”Allow much more time for your application than you think it needs. Spend time in advance of submission getting it right”.

Once you understand the process and requirements:-

Complete an initial enquiry form on the Research Data Scotland (RDS) website.

If your application is viable, eDRIS will:

1. log your proposal

2. provide you with a reference number (please use on all correspondence regarding your application)

3. assess and designate the priority level

4. provide you with the appropriate HSC-PBPP application form. Please follow the guidance available and instructions on the form to ensure you complete and answer all sections required for consideration. Incomplete or unclear information will result in your application being returned to you for clarification until the necessary information is provided and correct.

5. Inform you of which documents you will need to provide in support of your application e.g Information Governance Training Certification, Data Protection Impact Assessment (DPIA), Data Sharing Agreement, Ethics Approval, Confidentiality Advisory Group (CAG) and others if appropriate.

Once you have completed and provided the necessary documentation to eDRIS, they submit your application to HSC-PBPP who will advise when the review of your application will take place and expected decision date.

Communication between the applicant and HSC-PBPP is through your eDRIS contact.

Once your HSC-PBPP approval is provided, which is approval of your study public benefit and safe information governance to assure data controllers, eDRIS will support you with your data requirements.

Planned HSC-PBPP Tier 1 Dates

Fully completed application forms and supporting documents must be received by HSC-PBPP before 16:00hrs at least one week before the panel date.
